Official letters of Invitation Letter for application of Visa at Vietnam Embassy will be available to REGISTERED and PAID participants only. These letters do not and cannot commit the Organizing Committee to any financial obligation. Upon successful completion of your online registration and full payment of your registration fee, please contact sii_registration@ml.jaist.ac.jp with the paper ID in RAS system , the full name of invited person and passport number to request your visa invitation letter.

Registration can only be confirmed once payment is received. Payment can be made by any of the following methods:

- Credit card (Visa, MasterCard, American Express, Discover)
- Wire payment

To request a refund, please send an email to sii_registration@ml.jaist.ac.jp. Please note that all cancellations need to be made before December 1, 2023, 11:59pm EST, and will be subjected to a US$100.00 cancellation fee. Refunds for cancellation requests will only be considered in exceptional circumstances. For Full Registration, and if your co-authors also do not register, please be aware that your paper submission will also be canceled if you request a refund. Nonetheless, the paper with only one registration withdrawn after Camera Ready upload will not be considered for refund. It's important to understand that failure to obtain the necessary visa to travel to Vietnam does not qualify for a refund.

All best efforts will be made to present the program as published on the Conference website. The Conference and its agents reserve the right to alter without prior notice any of the arrangements, timetables, plans, or other items relating to the meeting for any cause beyond its reasonable control. The Organizing Committee and the Conference Organizers are not liable for any loss or inconvenience caused as a result of such alteration. In the event of unforeseen circumstances, the Organizing Committee and the Conference Organizers do not accept responsibility for loss of monies caused by delays. Participants are advised to take out personal travel insurance and to extend their policy to cover personal possessions. The Conference does not cover individuals against cancellations of bookings or theft or damage to belongings.
