Final Paper Submission

If your paper has been accepted, please complete the final submission process under the folowing instruction:

Required materials for final submission

  1. PDF file of your paper (max 2MB) that has passed the IEEE Xplore compliance test
  2. Single page PowerPoint slide which will be the digest of your paper
  3. The signed copyright form in PDF obtained from the IEEE e-copyright site
  4. Registration of at least one of the authors listed on the paper, before the paper submission

Cautions for final submission

  • A no-show paper will not be included in IEEE Xplore.
  • If none of the authors register for SII 2014, the paper will not be published in the event documentation including proceedings in a USB memory.
  • Each Full (Early) registrant can upload one paper without extra charge.

Instructions for preparing and submitting your paper

Overall
All authors must submit their manuscripts electronically in PDF format by the paper submission deadline. Manuscripts must be written in English. Six pages in the standard IEEE conference paper format (use templates below) are allowed for each paper, including figures and tables. A maximum of two additional pages are permitted at an extra charge of JPY 20,000 per page. Please note that papers that do not follow the formatting in the templates will not appear in the conference proceedings on IEEEXplore. Note that the PDF file must not exceed 2MB.

Write your paper using the available LaTeX or MS Word templates. Use US letter paper size for both LaTeX and MS Word template and do not change the formatting in any way.

Step-By-Step Guidelines of Final Submission Process

  • Step 1: Registration of at least one of the authors listed on the paper following these conference registration instructions.

  • Step 2: Prepare your final paper using the designated templates shown above and following these paper preparation instructions. If your paper is accompanied by a video, an explicit reference to the accompanying video should be present in the text of the paper.

  • Step 3: Check that the names of all authors and their order is identical in the PaperPlaza submission system, the paper, the digest page, and the accompanying video (if applicable). Please write author names with only the first letter capitalized, that is, use "Firstname Lastname" in all instances and do not use "FIRSTNAME LASTNAME" anywhere.

  • Step 4: Create a PDF version of your paper and perform the IEEE PDF compliance test. If your paper does not pass the test, you cannot continue and may read the PDF Test Help to revise the format of your paper until it passes the test.

  • Step 5: During the conference, a Digest will be distributed to all participants. Please prepare one (and only one) PowerPoint slide that illustrates your paper. You must only use the PowerPoint template available here. Please do not change the template and keep fonts and font sizes as prepared in the template. If the submitted digest is found not to conform to the template you may be asked to resubmit it. Please also note that the digest will be printed in monochrome.

  • Step 6: To process the copyright transfer for each contribution, follow the "Copyright Transfer" link, and you will be taken to the IEEE copyright transfer site (IEEE eCP) in a new window. Follow the steps as described on IEEE eCP pages and make sure that the paper title and author list are correct before your perform the copyright transfer.
