Information for Chairs and Co-Chairs
General preparation
- Prepare your workspace for the session:
- Minimize distractions
- Close unnecessary windows/applications
- Disable pop-up notifications where applicable (e.g. Outlook)
- Silent your phone
- Check your microphone, camera and screen sharing:
- If you’re using an external microphone or camera, make sure to plug them in
- You can also join a Zoom test meeting to verify that your microphone and camera work
There are two categories of oral presentations at SII2022:
- Contributed paper and special session paper: 15 min LIVE presentation and 5 min LIVE discussion
- Short paper and Late Breaking Report: 5 min LIVE or VIDEO presentation and 5 min LIVE discussion
Please check the conference program for the assigned time of your presentation in the session your paper is allocated to.
10-minutes before the session
- Connect to the session using the corresponding Zoom link in the conference program. (If you have the Zoom app installed, open the link using the Zoom app)
- Click on "Join Audio by Computer", enable your microphone, and start your video (If you’re having problems, let the session assistant know)
- (Please find your account name in the participation list and) Add "(Chair)" or "(Co-Chair)" to your account name as appeared in the participation list.
- Locate the session assistant:
- Session assistants will show up as (Assistant) or (Host) in the participant list
- If you are the Chair:
- Identify yourself to the session assistant as the Chair (The assistant will grant the Chair co-host privileges)
- Verify that you have co-host privileges. Additional controls will show up on your meeting toolbar (e.g. security)
- If you are Co-Chair:
- You will be promoted as Chair if the Chair does not appear on the list of participates at the starting time of the session.
5-minutes before the session
- Using the session program, identify the presenters and perform a quick name check:
- Read each paper’s title and ask the presenter to identify themselves
- If necessary, repeat the paper title and read the names of the authors
- If nobody responds, make a note and move on to the next paper. Otherwise, continue
- If nobody identifies themselves as the presenter of a paper at the start of the session, be sure to ask again at the start of the presentation slot for that paper.
- Ask the presenter to test their microphone, video, and screen sharing
- If the presenter needs to play a video with audio, remind them to enable desktop audio when screen sharing using the "Share computer sound" option
- If the presenter has some trouble on network communication and sharing the presentation materials, the assistant will try to play the pre-uploaded video found in the on-line proceedings.
Start up and running the session
- Short welcome note from the Chair
- Chair invite first speaker to start his/her presentation. Please inform the presenter 2 minutes before the end of the presentation time
- Ask if there are any questions to the presenter
- Please also check the chat window for any questions
- Keep the time schedule for each presenter and the overall session time
Closing the session
- Thank all presenters
- Declare the session for closed
- Notify the SII2022 program chair of any no-show presenters
